Systems’ Information Sharing

Order Entry consists of an Order Details screen that must be completed/acknowledged by the Order Author. EPR will request specific information, dependent on procedure or product being ordered. The Transaction Line will guide order entry. Like anywhere else in EPR, boldfaced fields are mandatory. However, clinically relevant information should be entered as appropriate.

Defining the Common Fields

The following are some of the more common fields you may see on the Order Entry screen:

Common Order Entry fields

 Field

Description

1

Process Type

Default field to show it is an Order; the field is greyed out to indicate it is not editable.

2

Dose/Route
(applicable only to medication orders)

Mandatory field for administration instructions.

3

When

Indicates the dosing interval or defined time of event or schedule of events, for the procedure in question. The information is generated based on the selection of Frequency options.

4

Instructions

Dedicated for additional special instructions. Information in this field may either be pre-filled, or empty if further instructions are not required.

Critical: ensure information in this field is carefully reviewed, so as not to miss important instructions relevant to the administration or processing of the order.

5

DC Time

DC is short for Discontinue. This field’s default response is set to Indefinite. With the exception of numbered scheduled events, Best Practice is to always leave all orders with an undefined stop time (i.e., indefinite) when entering or editing orders – unless otherwise indicated by the Prescriber.

6

Comment

Dedicated for additional information that cannot be otherwise transcribed/entered in the other existing EPR fields for order details.

Critical: Keep in mind, like any free-text entry into EPR, information entered into this field will not generate automatic alerts should there be any clinical contradictions. Therefore, carefully consider whether the information being entered fits into any of the other pre-defined fields.

Reviewing the Order Details within EPR

After entering of the order details, the information is available for review under several areas on the Patient’s Desktop’s Patient Shortcuts. The following is not an exhaustive list:

Systems’ Information Sharing

Information on the Order Details screen are shared with other clinical applications, particularly for medication and lab/radiology/imaging orders. For example, information in the Instructions field are sent to the Pharmacy system (BDM). Instructions in EPR appear as Directions in BDM.
