Step 1: Filling out the Pending Tests and Consults Screen
Step 2: Completing the Referral (in the Patient’s Chart)
1. With
the patient chart open, press CTRL + K. Alternatively
you can click on Data and
select Pending Test or Consult. The pending test or consult window
opens.
2. Click on the Consultations tab.
3. Highlight the specialty from the list on the left with a single click.
· Do not
double-click or select enter after you make your selection, as this
will close the
window and the referral will be missing the letter and the secretary’s
message will not get sent.
In this example Cardiology is selected.
There are three options to enter information in the Consultation’s Name field:
Option 1: By Consultant Name
Option 2: By Specialty
Option 3: By Urgency
4. In
this example we will make our selection by entering the specialty. Type
in the first few letters of the
desired specialty (“card” in this example) and press the tab key
on the keyboard to open the Address Book.
5. Select the appropriate choice from the address book and click the Select button.
6. The
Pending Tests and Consults screen appears, with the address
and details of the consultant
in the Details section.
· Here you can
add any additional notes to the POD secretary. For example,
you may want to
communicate what tests/results that you would like to send to the
specialist.
7. Click the Create Letter button.
8. Type your POD secretary’s initials to the Add with Message to field.
· All secretaries’ initials are prefixed with ‘a’ for administrative.
9. Click
on the Add with Message To: button. This will save and
send a message to the POD secretary
indicating that a referral letter has been created.
If only the Add button is selected, a message will not be
sent to the POD secretary. You will then
need to send a separate message indicating that a referral was created.
10. Close the window by clicking on the Done button.
After completing the Pending Tests and Consults window, the following 3 items will appear in the patient chart:
Checking
on the Referral Status: The green writing in the patient chart
is the Referral Tracking Tool that
indicates the status of the referral. Double-clicking
on the green text will open the Change Status window.
The POD secretary uses this window to manage referrals.

secretary receives, informing them of the referral (to handle)
The last task in requesting the referral is to complete filling out the consultant letter.
1. Click on anywhere on the black writing of the letter salutation
This generates an additional menu choice called Letter on the menu bar.
2. Click on the Letter button on the main menu.
3. On
the options that appear, click Show Letter View (or CTRL + \)
4. The
letter view appears. To complete the letter, click on Edit and
then Insert Stamp.

In this example selecting,
“referral-letterPod1”
5. Once
the stamp has been inserted, an Input window will appear asking
you to choose an addressee for this stamp.
Enter the appropriate name and click OK.
· If you are a staff physician, this is your name
· If you are a resident, this is your supervising physician’s name
6. Select the appropriate addressee and click Select.
7. Complete the filling out of the body of your letter.
· Residents
should be sure to type their name under the Resident’s Name field
8. Upon completion, click Done at the bottom of the letter.
