PHS will alert you with an Appointments Conflict window if you attempt to schedule an appointment to a resource that is not available. (i.e. to white space)
· Types of Appointment Conflicts
o The Patient Overbook Conflict
o The Practitioner Reservation Conflict
· Handling an Appointment Conflict
· Only Schedule to Green Space
The Patient OverBook conflict alert appears if the patient is already scheduled for an appointment at another clinic on that same timeslot.
The Practitioner Reservation conflict alert appears if the timeslot is reserved or blocked by the practitioner. See the Blocks topic for more details.
At the bottom of the Appointment Conflicts window, there are five action buttons that you can use to handle the appointment conflict.
1 Explain/Detail – Opens the Appointment Conflict Detail window, which displays detailed information about the conflict:
2 Accept&Goto – Accepts the appointment booking and takes you to the location of the appointment on the Appointment Grid.
· Note: This will change your display to the default Pool view.
3 Undo – Returns your appointment to the scheduling package without booking the appointment.
4 Accept – Accepts the overbooking and schedules the appointment despite the conflict.
· The Accept button is your best option, if you want to schedule the appointment, as the display will not change to the default (Pool view).
5 Help – Not used at UHN.
· You should only schedule to the green space on the Appointment Book. Green space indicates the resource is available. White space indicates the resource is unavailable. See the topic How PHS Works for more details.
· Green conflict free time will only appear when the appointment is in the Scheduling Package.
· In some areas, a Super User is assigned. This user has overbooking rights.
· In this case, if an overbooking is required, only the super user can schedule the appointment - after obtaining approval from the clinician.
· Super User privilege is granted by the Unit Manager and programmed by the PHS Team.
