Finding Appointments

Once an appointment is created in PHS you will always be able to find it (whether it is a pending, past or cancelled appointment, or if it is sitting in a waitlist or inbox). You can search for your patient’s appointments or generate a list of appointments (e.g. a clinic appointment list).

 

·         Find Your Patient’s Appointments  1

o   Step 1: Click the Find button towards the top left corner of the toolbar. 1

o   Step 2: In the Appointment Search window, click Find Patient in the top right. 1

o   Step 3: Search for your patient using the Patient Search window. 1

o   Step 4: Search for your patient’s list of appointments. 1

o   Step 5: Locate the specific appointment in the Appointment Search Results window. 1

Find Your Patient’s Appointments

Step 1: Click the Find button towards the top left corner of the toolbar.

Step 2: In the Appointment Search window, click Find Patient in the top right.

Step 3: Search for your patient using the Patient Search window.

1     Enter your patient’s MRN (Medical Record Number) in the Enterprise Person Number field.

2     Click the Search button in the top right corner.

 

Confirm information in the Patient Search Results screen.

1     Check to ensure that the information in the Patient Search Results window.

2     Click OK in the top right.

Step 4: Search for your patient’s list of appointments.

Your patient’s information is now in the top section of the Appointment Search window. Click Search in the top right corner.

 

Step 5: Locate the specific appointment in the Appointment Search Results window.

1     Select the preferred appointment based on the date. Notice that the date is shown as Month/Day/Year.

2     Use the scroll bar at the bottom to view more information for each appointment (scroll to the right).

3     If required, choose an option from the menu on the right. For example: you may print a patient itinerary from this window.

Find a List of Appointments

Search for a list of appointments that meet a specific criteria. For example, you can search for all the patients who are coming to the Testing Unit at Princess Margaret for the month of September 2020.

 

Step 1: Click the Find button in the top left corner of the toolbar.

Step 2: Enter the search criteri.a

 

In the bottom section of the Appointment Search window, enter information based on the search criteria.

Search criteria that you can use (enter any that apply):

 

1   First & Last dates – Define the date range for your search by clicking on the calendar icons to the right of the First date and Last date fields.

2     Resource unit – Search for a list of appointments for a particular unit.

3     Prim. practitioner – Search for a list of appointments for a practitioner.

4     Ordering– Search for a list of appointments for an ordering physician.

5     Attending – Search for a list of appointments for an attending physician.

6     Facility – Search for a list of appointments for a facility.

7     Prim. procedure– Search for a list of appointments with a specific procedure.

8     Referring – Search for a list of appointments referred by a particular practitioner.

Step 3: Click Search in the top right corner.

Once you have entered the desired search criteria, click the Search button in the top right corner.

To search for a list of appointments at a Unit during a specific date range, enter information into the Dates, and Resource Unit fields.

 

For example, to search for a list of appointments at a Unit during a specific date range:

1     Enter information into the Dates, and Resource Unit fields.

2     Click Search in the top right corner.

 

The Appointment Search Results window will display the list of appointments according to the search criteria that you entered.

Best Practices

·         Always enter the MRN in the Enterprise Person Number field to search for your patient.

·         Do not use the PHS Medical Record Number field.

·         The recommended way to search for a patient is to type the MRN in the Enterprise Person Number field, rather than searching by the patient’s name. This is the safest way to search, as there are many duplicate names in the EPR, where the patient info is pulled from.
