The Cyclical Appointment functionality allows you to quickly schedule multiple recurring appointments on the Appointment Book. All appointments will be scheduled on the same day/s of the week, and at the same time, according to what you select. E.g. Every Monday, Wednesday, and Friday at 10:00 a.m. for 6 weeks.
· Check the Appointment Book for appointment availability before you schedule multiple appointments, otherwise you will get appointment conflicts.
· The Cyclical Functionality does not give you the option to have different times for your appointments.
· Example: A
patient requires an appointment every Monday, Wednesday and Friday
for the next 6 weeks, at 10:00 am.
· Step 1 - Enter the Patient Information
· Step 2 - Enter the Unit, Procedure, and Practitioner
· Step 3 - Select the Cyclical Frequency and the Duration
· Step 4 - Enter the Remaining fields on the Patient Scheduling Screen
· Step 5 - Enter the Patient Type and Insurance Info
· Step 6 - Schedule the Cyclical Appointments
1. Click on the New button in the top left corner of the toolbar.
2. Enter the patient’s MRN number into the Enterprise Person Number field, and then click Search in the top right of the window.
3. Check the information in the Patient Search Results window to ensure that you have selected the correct patient, and then click on the OK button in the top right corner.
1 Enter the unit name and click the magnifying glass to the right of the field.
2 Enter the procedure and click the magnifying glass.
3 Enter the practitioner name and click the magnifying glass.
4. Click on the Cyclical button.
5. The Define Pattern window appears.
1 Select
the desired frequency. Different options will appear depending
on the frequency that you select.
Note: The options that appear are similar to booking a recurring
meeting, when using Outlook.
2 Select the days. Different options will appear in this section, depending on what you have selected on the Frequency screen.
3 Select the Start Date.
4 Select the Stop Date. You can also use the Duration and No. appointments options. The dates that you select will now display in green on the calendar at the far right. Use the calendar to double check that you have selected the correct dates.
5 Click
OK.
6. The Cyclical Appointment window appears. You can double-check all of your dates by looking under the Cyclical date list and at the calendar. You can also make duration modifications here, if required. Click OK to continue.
7. The Patient Scheduling screen appears. Complete all mandatory fields, as required. You can also add a comment to the long procedure name if desired. This comment will appear on every cyclical appointment. After completing all mandatory fields, click on Find Visit to proceed with entering the patient type and insurance info.
8. Select the New button on the Visit for Patient screen.
9. Fill in the mandatory fields on the Edit Visit for Patient screen. Click OK to continue.
10. On the Patient Scheduling Screen, select Save.
11. The Appointment Book appears. In the Scheduling Package, the blue cyclical icon indicates that this top row contains a set of multiple cyclical appointments (that were just set up). Cyclical appointments do not appear as individual appointments in the Scheduling package, as other appointments do. They are bundled together into one row and identified by the blue cyclical icon.
12. Click on the calendar icon in the top left corner. In the Calendar window that appears, all the selected dates are highlighted in blue. The Appointment Book will default to the first date that you have requested.
13. Drag the cyclical appointment set (with the blue circular icon) to the first desired date and time. Be sure to look for green conflict-free time.
14. The
cyclical appointments will now automatically schedule to the dates
and time that you selected.
You have completed scheduling your cyclical appointment set.
· The Cyclical Functionality does not give you the option to have different times for your appointments. If you need a different time for an appointment, the only option is to reschedule an individual appointment, after scheduling it on the Appointment Book.
· You can also add a comment to the long procedure name when setting up a set of cyclical appointments. However, this comment will appear on every appointment in the set.
· View all of your appointments in week view, for each week, using the calendar button.
· When scheduling cyclical appointments, they do not appear as individual appointments in the Scheduling package, as other appointments do. They are bundled together into one row and identified by the blue cyclical icon.
